How do AI coaching tools help safety managers reach more drivers?

AI coaching platforms let safety managers deliver feedback on driving events in real time, without adding headcount. Two large carriers discussed their AI coaching deployments at a technology summit this summer, explaining how the tools extend the reach of human safety staff when event volume exceeds what a small team can manually review.

The carriers did not disclose which AI coaching vendors they use or the size of their fleets, but both safety managers said the systems flag events (hard braking, following distance violations, rolling stops) and generate automated coaching messages to drivers within minutes of the event. Human safety managers review only the highest-severity incidents or patterns that the AI escalates.

What AI coaching replaces in the safety workflow

Traditional video-based safety systems generate alerts when a dashcam detects a risky event. A safety manager reviews the video, decides whether coaching is warranted, and contacts the driver by phone, email, or in-person conversation. In a 200-truck fleet, a single safety manager might review 50 to 100 events per day. Events that don't get reviewed within 24 to 48 hours lose coaching value because the driver no longer remembers the context.

AI coaching automates the first response. The system reviews the video, classifies the severity, and sends a message to the driver's ELD or mobile app with a clip of the event and a brief explanation of what triggered the alert. The driver acknowledges the message. The safety manager sees a summary dashboard showing which drivers received coaching, how many events each driver accumulated over the week, and which drivers need human follow-up.

One safety manager at the summit said the AI system handles about 70 percent of coaching events without human intervention. The remaining 30 percent (repeat offenders, severe events, or incidents the AI can't confidently classify) still go to a human reviewer.

What the AI doesn't replace

Both carriers emphasized that AI coaching does not replace human safety managers. Drivers who accumulate multiple AI-flagged events in a short period still get a phone call or face-to-face conversation. The AI handles the routine, low-severity events that would otherwise go unaddressed because the safety team lacks time to review every clip.

The systems also do not make termination decisions. A human manager reviews any event that could lead to discipline or separation. The AI's role is to provide immediate feedback on correctable behavior (rolling through a stop sign, following too close on the interstate) before the behavior becomes a pattern.

Adoption barriers for small fleets

AI coaching platforms typically require an existing video telematics system (dashcam with event detection) and integration with the fleet's ELD or driver communication app. Setup costs and monthly per-unit fees put the technology out of reach for many small fleets. One safety manager at the summit said his carrier's AI coaching vendor charges a per-driver monthly fee on top of the dashcam subscription, but he did not disclose the amount.

Small fleets that already use AI dashcams to flag rolling stops and tailgating may find that their existing vendor offers an AI coaching add-on. Netradyne's Intelligence platform now auto-coaches drivers and files incidents without manager input, a capability that launched earlier this year.

What this means for fleet safety budgets

AI coaching does not eliminate the need for safety managers, but it does change the math on how many managers a fleet needs per 100 trucks. A carrier that previously required one safety manager per 150 trucks might stretch that ratio to one per 250 trucks if AI handles the bulk of routine coaching. The savings in headcount can offset the cost of the AI platform, but only if the fleet already has video telematics in place and a driver population willing to engage with automated feedback.

Fleets considering AI coaching should ask vendors how the system escalates events to human review, what percentage of events typically require human follow-up, and whether the platform integrates with the fleet's existing ELD and video hardware. A system that requires drivers to install a separate app or log into a web portal will see lower engagement than one that delivers coaching through the ELD screen the driver already uses every day.
